Terms and Conditions

The French Kitchen Catering terms & conditions are accepted fully by the client when an event is booked in writing and payment of a deposit is received.

MENU & PRICING

Function Prices are correct at time that they are quoted and based on an estimated minimum number of guests. Whilst we do our best to maintain quoted prices, under exceptional circumstances, we reserve the right to amend prices up to 6 weeks prior to the event. Exceptional circumstances include food & wage inflation greater than 5%. All French Kitchen prices are subject to VAT.

BOOKING 

Orders under £1000

  • A £100 non-refundable deposit is required to secure your booking for the selected date.
  • Orders will be confirmed by email.
  • Final number of guests will be confirmed 7 working days before the event and after this time no refund will be given for a reduction in the number of guests.
  • An increase in number of guest can usually be accommodated up to 3 working days before the event.
  • The remaining balance will be invoiced upon confirmation of numbers and is due not later than 5 working days prior to the date of the event.

Orders over £1000

  • A £500 non-refundable deposit is required to secure your booking for the selected date.
  • 50% of the balance will be due 6 months prior to the event.
  • Final Payment will be due three (3) weeks prior to the event date.
  • Orders will be confirmed by email.
  • Final numbers of guests will be confirmed 21 working days before the event and after this time no refund will be given for a reduction in the number of guests.
  • An increase in number of guest can usually be accommodated up to 7 working days before the event.
  • The remaining balance will be invoiced upon confirmation of numbers and is due not later than 21 days prior to the date of the event.

CHILDREN’S MEAL

Children under the age of twelve (12) will be provided with a simple 3 course menu for £15 each (unless otherwise agreed). Children over the age of twelve will be charged full adult price.

SUPPLIERS FOOD

Suppliers food, photographer, band or any individual requiring food during the event will be charged 50% of the full quoted adult price. Suppliers food is to be confirmed with final guest numbers. This will be a two course meal.

FOOD TASTINGS

Food tastings are at our kitchens and are charged at £75 for up to four people and £100 for up to six people. Menu choices need to be confirmed before the tastings although if torn between two dishes both can be tried. Food tastings take a maximum of two hours.

We are very busy at the weekends so we try to do tastings during the week.

CONFIRMATION 

When a reservation is verbally booked, clients have 15 working days to confirm the provisional booking by returning their booking form and making payment of a non-refundable deposit. On receipt of this payment the event will be confirmed by the forwarding of a copy of our original quote invoice with the deposit deducted from the total.

CANCELLATION 

Orders under £200 can be cancelled up to 7 days prior to delivery at no charge. Orders cancelled after this time will be subject to the full charge.

Orders over £200 cancelled with less than 3 months’ notice are liable for a late cancellation charge of 50% of the total amount due. For events cancelled within 60 days, the full amount will be payable.

The French Kitchen reserve the right to cancel any bookings without liability on its part in event of unforeseen circumstances (Act of God) over which they have no control, including but not exclusively: fire, accident, labour or food shortages(this has never happened).

ALLERGIES 

The French Kitchen cannot guarantee that any produce on our menu is totally free from nuts, nut derivatives or other ingredients to which guests may have a serious allergic reaction, as we cannot operate in a nut free environment. We would therefore advise guests with a severe allergy to nuts or other ingredients to talk to us directly to arrange an alternative to the chosen meal.

FORCE MAJEURE 

The French Kitchen shall make reasonable efforts to perform their obligations under contract but shall not be liable for any delay or other failure to perform any part of the contract as a result of factors outside of The French Kitchen’s control. The French Kitchen reserves the right to pass any additional costs incurred from their suppliers’ or in-house expenses due to unforeseen demand, restrictions or requirements to fulfil the contract.

INSURANCE 

The French Kitchen always recommend that clients take out event insurance from a reputable independent insurance supplier.

DRINKS

The French kitchen offer an extensive wine list and beverage menu including drinks packages.

We do not charge for the drinks reception if 3 or more canapés are ordered from our canapé menu. You would need to provide the glassware for the drinks reception (we can provide you with a supplier for glassware and linen) and we would prepare, pour and serve your drinks for a maximum of two hours. We also ask that you keep the reception drinks fairly simple.

If canapés are not ordered from us then there is a service charge of £4 per head to cover service.

For guests requiring drinks/bar service after food service is complete, The French Kitchen can supply a separate bar service.

Bar staff are charged at £20 per hour at all times.

CATERING FACILITIES & EQUIPMENT HIRE 

When the client is providing the venue, they must ensure that The French Kitchen has sufficient transport access, running water supply, adequate electricity supply and access to a toilet facility. If the venue if a marquee we would also require a service/catering tent of 6m X 6m, trestle tables (numbers being dependent on the size of the event) and preferably recycling and waste bins.

LEFTOVERS

In accordance with appropriate current food legislation, French Kitchen reserves the right to discard any leftover food items, after the agreed event timetable, where there is a reasonable risk for food borne illness to occur.

CLEARING UP AFTER THE EVENT

We are not responsible for the removal of rubbish or bottles after the event. We recommend that you hire a trailer or large van to remove the rubbish the following day.

If you would like us to remove this rubbish then there will be a charge of £400

FOOD QUANTITY

French Kitchen will prepare between five- ten percent (5%-10%) overage based on the final number of guests registered by the client. Part of this overage is to include food for the staff. The client will not be charged for this.

CLEARING 

The French Kitchen will make every effort to leave an outside event kitchen as we found it. We will ensure that our equipment is cleared, packed & removed and that rubbish is left bagged. The French Kitchen are not responsible for clearing the ‘party area’ unless specifically contracted to do so.

DAMAGE

If The French Kitchen’s property or that of our suppliers is wilfully or negligently damaged or stolen at an event, their replacement cost is payable by the clients.

SUBSTITUTIONS

The French Kitchen reserves the right to substitute products without prior notice.

DELIVERY & COLLECTION

Delivery and collection is free on orders over £300 and within a 10 mile radius of West Horrington. Smaller orders are subject to a charge of £1 per mile for locations beyond a 10 mile radius of West Horrington. We will always aim to deliver on time and will contact you as soon as possible if there are any delays.

CUSTOMER COMPLAINTS 

Complaints must be logged within 24 hours of the event.

DATA PROTECTION

The French Kitchen has a strict policy for handling customer information. It is confidential and protected to the fullest extent possible. The French Kitchen will not disclose or distribute customer information to third parties without prior written consent of the customer.
